What the job entails

This Executive Assistant role sits close to senior leadership and plays a key part in keeping the organisation running smoothly. You will support the CEO and management team across a broad range of administrative, coordination and communication tasks, acting as a reliable partner in day-to-day operations and project delivery.

The role goes well beyond traditional secretarial support. It includes managing complex calendars, coordinating meetings with internal and external stakeholders, preparing agendas and minutes, and tracking follow-up actions. You will also support bilingual information handling, including translation and interpretation assistance, document preparation, client follow-up and light research. In addition, you will handle general office administration such as travel arrangements, expense processing, document control and supplies management, while maintaining discretion, professionalism and a strong eye for detail.

Key requirements / What we look for
  • 3+ years’ experience as an Executive Assistant, Project Coordinator or in administration [suggestion]

  • Native-level Japanese and business-level English, written and spoken

  • Strong bilingual communication, writing and explanation skills

  • Confident managing multiple tasks, schedules and deadlines

  • High attention to detail, discretion and sound judgement

  • Proactive, independent and collaborative approach
