Position Overview
Reporting to the APAC Workplace Operations leadership team, this position is responsible for managing workplace operations, facilities services, vendor performance, office administration, workplace safety, and employee experience initiatives. The role serves as a key liaison between employees, business leaders, landlords, and service providers while ensuring compliance with corporate standards and local regulations.
Key Responsibilities
Workplace Operations & Service Delivery
Lead daily workplace operations including cleaning services, pantry management, office maintenance, and workplace environment oversight.
Conduct regular site inspections to ensure workplace standards and service quality are maintained.
Ensure all workplace services meet established service-level agreements and corporate requirements.
Oversee meeting room readiness, shared office facilities, multifunction devices, and workplace infrastructure.
Coordinate with local authorities regarding workplace-related requirements and compliance matters.
Support business continuity planning and workplace emergency preparedness initiatives.
Space Management & Workplace Coordination
Manage office space planning, employee moves, seating arrangements, and workplace reconfigurations.
Maintain workplace allocation records, floor plans, and occupancy data.
Support workspace utilization tracking and cost management initiatives.
Partner with IT and internal stakeholders to ensure smooth workplace transitions and changes.
Vendor & Contract Management
Manage relationships with facilities vendors, office service providers, and workplace suppliers.
Monitor vendor performance and drive continuous service improvements.
Coordinate with landlords and building management on facilities-related matters.
Support contract administration, invoice management, and budget tracking activities.
Security & Safety Management
Oversee workplace access control and visitor management processes.
Ensure compliance with workplace safety standards and audit requirements.
Maintain documentation supporting security, safety, and compliance programs.
Coordinate workplace security services and storage management activities.
Administrative Operations
Manage procurement of office supplies, workplace consumables, and operational resources.
Support invoice processing and expense management activities.
Provide operational support for day-to-day office administration.
Lead or contribute to workplace improvement projects and operational initiatives.
Stakeholder Management
Serve as the primary contact for workplace operations across Japan.
Support regional oversight activities for South Korea and Australia.
Build strong relationships with employees, business leaders, landlords, and external vendors.
Collaborate with regional and global workplace operations teams to align local execution with broader organizational objectives.
Employee Experience & Continuous Improvement
Drive initiatives that enhance workplace satisfaction and employee engagement.
Identify opportunities to improve operational efficiency and service delivery.
Support implementation of regional and global workplace strategies.
Required Qualifications
Bachelor's degree or equivalent professional qualification.
Approximately 15–20 years of facilities management experience, with a strong focus on workplace operations and soft services.
Proven experience managing vendors, office services, and workplace operations.
Strong understanding of workplace management, service delivery models, and compliance requirements.
Knowledge of Japanese labor regulations, workplace safety standards, and related legislation.
Experience working within multinational or global corporate environments.
Business-level Japanese and English communication skills.
Ability to manage and support multiple office locations.
Strong stakeholder management, organizational, and problem-solving abilities.
Preferred Certifications
Licensed Fire Prevention Manager (甲種防火管理者).
Health and Safety Officer Certification (衛生管理者).
