What the Job Entails

As a General Affairs and Office Administrator, you will help ensure the Tokyo office operates efficiently, professionally, and welcomingly each day. Your responsibilities will include welcoming visitors, handling telephone inquiries, managing administrative tasks, coordinating with vendors and internal stakeholders, and supporting general affairs and facilities-related activities. You will also use Microsoft Outlook and Excel to maintain schedules, information, and office documentation. This is a permanent, office-based position with standard working hours of 9:00 a.m. to 6:00 p.m. and flexible working hours available. The role is well suited to an organized and proactive professional who enjoys varied responsibilities and takes pride in providing dependable support.

Key Requirements

  • At least two years of full-time professional experience.

  • Experience in office administration, general affairs, facilities support, or a closely related function.

  • Proficiency with Microsoft Outlook and Excel.

  • Experience welcoming visitors and handling telephone communications professionally.

  • Ability to coordinate effectively with vendors, service providers, internal teams, and other stakeholders.

  • Strong organizational skills, with the ability to manage varied administrative activities accurately and efficiently.

  • Reliable, responsible, and proactive approach to work.

  • Approachable communication style and strong interpersonal skills.

  • Comfort working in a professional, international environment.

  • Ability to work with English-language systems and materials.

  • Willingness to work onsite in the Tokyo office.
