Retail Operations Manager

Reports to: Japan Retail Director / Global Retail Operations Team

Overview

A global luxury jewelry brand is seeking a dedicated Retail Operations Manager to support boutique operations in Japan. This position ensures smooth daily retail execution, alignment with global standards, and continuous enhancement of operational efficiency.

Role Purpose

The Retail Operations Manager will act as a key operational partner to the Japan Retail Director, supporting all aspects of boutique coordination and compliance. The role focuses on optimizing retail performance, standardizing procedures, and elevating the customer experience across Japan boutiques.

Main Responsibilities

Operational Standards & Compliance

  • Implement global retail operations guidelines to maintain consistency and best practices across boutiques.

  • Adapt and localize operational procedures for the Japan market, ensuring full compliance.

  • Oversee safety and security policies and follow up on any incidents or compliance gaps.

  • Maintain strong communication with boutique teams to improve workflow and productivity.

  • Perform payment checks and ensure adherence to internal control policies depending on store format (freestanding vs. department store concessions).

Inventory Management

  • Coordinate inventory counts and fiscal stock checks aligned with global guidelines.

  • Lead the annual full inventory process for each boutique.

  • Monitor weekly cycle count results and report discrepancies, proposing corrective actions.

  • Ensure accurate stock control and support merchandise movement processes between locations.

Training & Team Development

  • Support onboarding for key boutique roles both on-site and remotely.

  • Deliver training on POS systems, BOH operations, logistics, customs management, after-sales procedures, and client service processes.

  • Provide coaching to boutique managers on back-office organization and operational standards.

Boutique Openings & Retail Projects

  • Partner with the Japan Retail Director on new boutique launches.

  • Coordinate closely with global retail operations counterparts on rollout plans.

  • Handle retail tool distribution, office management, and operational readiness.

  • Provide on-site support during opening and special events.

Retail Excellence & Facility Management

  • Manage retail tools, assets, and gifting inventory.

  • Support administrative needs including supplier coordination, IT support, and purchasing.

  • Conduct routine store visits to assess operational compliance and brand standards.

  • Assist with after-sales support and maintenance requests.

Additional Responsibilities

  • Monitor boutique KPIs and performance metrics.

  • Analyze mystery shopping results and customer feedback programs.

  • Collaborate with training teams to strengthen service and sales capabilities.

  • Contribute to network growth initiatives and process optimization.

  • Support exhibitions, fairs, and retail-driven events as needed.

Candidate Requirements

  • 5+ years of experience in luxury retail operations

  • Strong analytical skills with exceptional attention to detail

  • Proven, stable employment history

  • Hands-on experience with retail sales operations

  • Proficient in Excel (advanced), PowerPoint (advanced), and Word

  • Business fluency in Japanese and English; additional languages are an advantage
