What the job entails

As Senior Office Administrator, you will provide comprehensive administrative and operational support to senior executives and the Tokyo office. You will help ensure that daily office activities run smoothly, efficiently, and in compliance with applicable requirements.

Your responsibilities will include managing office facilities and vendors, coordinating travel, supporting onboarding, organizing company events, and assisting with corporate administration. You will also prepare documents, manage schedules and communications, coordinate projects, and handle sensitive information with a high degree of discretion.

Working independently while collaborating with colleagues across an international organization, you will serve as a reliable point of contact for employees, suppliers, visitors, and senior stakeholders. Your ability to prioritize, anticipate needs, and maintain high standards of accuracy will be essential to the success of the office.

Key requirements
  • 5–10 or more years of experience in office administration, executive support, facilities management, or corporate administration.

  • Demonstrated experience supporting senior executives in a multinational or international company.

  • Native or fluent Japanese language skills and business-level English proficiency, both written and spoken.

  • Strong experience managing vendors, facilities, office services, and related operational activities.

  • Excellent organizational, planning, time-management, and project coordination skills.

  • Professional judgment and discretion when handling confidential and sensitive information.

  • Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook.

  • Experience coordinating business travel, employee onboarding, office events, and administrative processes.

  • Strong customer-service orientation, interpersonal skills, and written and verbal communication abilities.

  • Ability to work independently with minimal supervision while contributing effectively as a collaborative team member.

  • Flexibility and adaptability in a dynamic, international work environment.

  • High attention to detail, accuracy, and follow-through.

  • Knowledge of Japanese laws, regulations, and compliance requirements related to office operations.

  • Bachelor’s degree or equivalent professional experience.

  • Experience with ERP or office management systems is advantageous.

  • Ability to work in Tokyo, Japan, under a hybrid work arrangement.
