Job Title: Assistant – President’s Office
This role supports the President in close collaboration with the Executive Assistant and includes responsibilities as an interpreter. The position involves a combination of administrative coordination, hospitality arrangements, and bilingual support for both internal and external meetings.
Assistant Responsibilities
Monthly Tasks:
Schedule appointments and internal meetings for the President
Send QR code access passes to office visitors in advance
Coordinate guest refreshments with the office receptionist
Arrange IT support for online meetings (e.g., Microsoft Teams) in designated meeting rooms
Manage reservations for executive meeting spaces
Handle bookings and payment processes:
Create purchase orders and manage payments for vendors using an internal procurement system
Book taxis and make restaurant reservations for the President or visiting guests
Tasks Every 2–3 Months:
Coordinate accommodation and gift arrangements:
Reserve hotel rooms for the President or visiting guests within Japan
Prepare and send gifts to business partners for meetings or formal occasions
Organize packing and delivery of gifts or donation items for special events (e.g., gala dinners)
Occasional Tasks:
Order supplies and internal items:
Procure gift items (e.g., fragrances, accessories) for executive use
Order office stationery
Assist with staff sale orders for the President
Special Period Tasks:
Send formal letters of appreciation for seasonal gifts (summer and year-end, twice annually)
Coordinate the preparation and distribution of holiday greeting cards to partners (from mid-November to mid-December)
Interpreter Responsibilities
Provide interpretation support at internal meetings, such as retail-related or trade meetings (approximately once per month)
Assist with external meetings (about 4–5 times per month), including:
Meetings with department stores
Discussions with vendors from sectors such as finance, logistics, real estate, construction, or affiliated partners
Additional Tasks:
Assist in the creation of presentation materials for the President
Candidate Profile & Requirements:
Early-career professionals with future potential for internal mobility across divisions
Business-level proficiency in both English and Japanese
French language skills are a plus, but not required
Excellent interpersonal and communication skills
