Quality Assurance & Regulatory Affairs Assistant 

This role provides operational support within the Quality Assurance and Regulatory Affairs team, focusing on product quality management, regulatory documentation, and cross-functional coordination.

Primary Responsibilities

Quality Assurance

• Receive and prepare consumer and customer product returns for inspection
• Conduct product inspections and report findings through internal databases (communication in English required)
• Coordinate with overseas manufacturing sites regarding analysis results and shipment of samples
• Maintain databases related to quality complaints and track follow-up actions with Customer Service
• Share investigation reports and data with distributors and clients

Marketing & Regulatory Support

• Retrieve and organize product information and material data from internal systems
• Manage product samples and arrange required testing, including reviewing analytical results
• Handle documentation requests such as product certifications and specification guarantees
• Review packaging artwork for compliance and accuracy
• Draft and check regulatory documents, labels, and product specifications in English

General Administrative Tasks

• Arrange internal and external meetings, sample logistics, and supply procurement
• Assist with vendor setup, invoicing checks, and budget tracking in internal systems
• Provide wider administrative support as needed

Required Qualifications

• Minimum one year of experience handling English business communication
• Native-level Japanese; business-level written English with the ability to review and correct translations
• Previous exposure to quality assurance responsibilities
• Strong attention to detail and accuracy in handling sensitive information
• Proficient in MS Office and collaboration tools such as Teams and SharePoint, with ability to organize and analyze data

Preferred Qualifications

• Experience in QA or claims handling within consumer goods or customer support environments
• Familiarity with supply chain processes in FMCG sectors
• Practical exposure to QA or regulatory functions in food or consumer product industries
• Knowledge of food manufacturing, regulations, or related business operations
• Academic background in Chemistry, Biology, Food Science, Agriculture, or possession of a food quality certification
