Key Responsibilities
1. Administrative & Secretarial Support
Manage and coordinate schedules
Assist with expense reports and invoice processing
Handle courier logistics
Manage signature collection and record Board/Committee meetings
Organize company events, business trips, and offsite meetings; assist with visa applications
Respond to inquiries and route them to the appropriate contacts
Support the Office Manager in maintaining the office environment
Perform additional ad hoc tasks as needed
2. Document Handling
Assist in preparing documents for group companies and investors (e.g., notarization, due diligence materials)
Prepare required investor documents, including company registry copies and official seal certificates
Manage KYC (Know Your Customer) procedures for vendors prior to contract signing
Requirements

Fluency in both Japanese and English
Preferred Qualifications
Bachelor’s degree or higher
At least 3 years of professional experience in office administration, back office operations, or hospitality
Familiarity with Google Apps Script
