Role Overview

A Tokyo-based integrated marketing organization is seeking a dependable and detail-focused Finance & Office Administrator to support both financial operations and general office administration.

This hybrid position is ideal for someone who values variety in their work, takes ownership of responsibilities, and is comfortable handling both numerical tasks and day-to-day office coordination. The role requires regular presence in the Tokyo office for at least two days per week, with the remainder of the time working remotely.

The successful candidate will be a native-level Japanese speaker with practical English skills and several years of experience in office or finance administration, ideally within an international working environment.

Key Responsibilities

Finance and Accounting Support

  • Support accounts payable and receivable processes, including:

    • Processing vendor invoices and coordinating payments with an external accounting provider

    • Preparing and issuing client invoices

  • Assist with bank and account reconciliations

  • Process employee expense reimbursements and manage petty cash records

  • Provide administrative support to finance operations, including document management and internal inquiries

  • Assist with daily financial tasks as required

Office Administration and HR Support

  • Handle incoming and outgoing communications, including phone calls and mail

  • Manage office supply inventory and coordinate procurement

  • Provide HR-related administrative support, including:

    • Coordinating onboarding activities for new employees

    • Liaising with external accounting or payroll providers on employment documentation

    • Assisting international staff with visa-related documentation preparation

  • Conduct office-related errands when necessary, such as visits to banks or government offices

Education and Experience

  • Bachelor’s degree or equivalent

  • Minimum of three years’ experience in finance administration, office administration, or a related role

  • Experience working in a multicultural or international environment is strongly preferred

Working Conditions
