POSITION SUMMARY:

Under general direction of the Operations Team Leader, the overall purpose of this position is to work proactively as a member of the operations team in providing a customer focused service responsible for:

I. Performing operational functions effectively and efficiently, and in accordance with World Courier Global and Japanese policies and procedures and regulatory requirements, which includes:

  • Preparing and executing customer shipments for air export and import, utilising the company’s shipment processing systems and completing regulatory clearances;

  • Monitoring shipments in transit, initiating effective action as necessary to rectify issues;

  • Linking with the airlines and WC brokers as required.

  • Shipments airlines booking; Controlling our Air freight levels

  • Training other team members in CS and Dispatch on the requirements necessary for import and export procedures

  • Assisting with answering telephone calls as necessary.

II. Actively supporting other functional areas of the business as required.

III. Any other duties as directed by the Operations Supervisor or Operations Manager

IV. Ensure that shifts -including week end shifts when applicable – are established in agreement with the Operations Team lead / Operations manager

 

PRIMARY DUTIES AND RESPONSIBILITIES:

1. Utilise appropriate company shipment and export processing systems:

  • Update and finalise jobs:

  • Enter applicable information and charges

  • Check customer export documents and attach to job

  • Complete international carrier’s Mawb and other associated documents

  • Complete company’s Declaration of Security

  • Complete and transmit FWB (Mawb) and FHL (Hwb) information to carrier

  • Post flight shipments

2. Ensure all shipments are checked prior to driver delivering to international carrier:

  • Confirm shipments comply with security and regulatory requirements

  • Confirm shipments are packed, labelled and marked correctly

3. Constantly monitor operations email:

Manage all communication responding to customers and where appropriate, immediately forwarding emails to other personnel

4. Utilise appropriate company shipment processing system:

  • Constantly monitor and manage all communication via job notes

  • Notify consignees of pending shipments, confirming import and delivery details

  • Update jobs by entering appropriate information and charges and attaching all applicable import documents

5. Proactively coordinate training with other team members:

  • Client Services Team members

  • Dispatch team members

  • When necessary: agents and their drivers

6. Prepare customer shipping documentation as required

7. Organise shipment collections liaising with customers and domestic agents

8. Acquiring and maintaining knowledge and understanding, and complying at all times with:

  • Company Code of Conduct and Policies;

  • World Courier global and WC Japan policies and procedures relevant to the position;

  • Company security requirements and health & safety system:

i. Reporting all security breaches and incidents in a timely manner.

ii. Taking all practical steps to ensure own safety and the safety of others while at work; reporting all accidents and incidents in a timely manner.

9. Ensure compliance with relevant WH&S legislation and that any issues are identified and actioned in line WC Japan policy

EXPERIENCE AND EDUCATIONAL REQUIREMENTS:

• Significant customer service and/or operations experience.

• Strong international & domestic geographic knowledge.

• An understanding of Imports and Exports processes and statutory requirements.

• Sound experience using the Microsoft Office Suite, including Word, Excel and Outlook.

• Experience negotiating timelines and pricing with a range of stakeholders MINIMUM SKILLS, KNOWLEDGE AND ABILITY REQUIREMENTS:
