Job Title: National Real Estate Operations Administrator

Role Summary:
We are seeking an experienced and strategic National Real Estate Operations Administrator to unify and streamline back-office, compliance, and transaction operations across multiple offices in Japan, including Tokyo, Niseko, Furano, and potential future markets. This role is essential for building a scalable, high-performance luxury real estate brokerage.
As a central operational support position, you will ensure that all regional offices provide consistent, compliant, and efficient support to agents and clients. You will play a key role in integrating operational systems and processes across different locations, fostering a culture of operational excellence and continuous improvement. Additionally, you will standardize contract administration practices across all offices.
Key Responsibilities:
Operational Standardization
Develop and implement Standard Operating Procedures (SOPs) for contract management, transaction workflows, and compliance operations across all offices.
National Oversight
Provide national oversight of contract administration and indirectly manage regional operations teams to ensure accountability, coordination, and consistency.
Regulatory Compliance
Ensure all operations comply with Japanese real estate laws and brand standards.
Proactively manage contractual timelines, risks, and documentation.
Performance Management
Define, monitor, and report on Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) to maintain optimal operational performance nationwide.
Cross-Functional Collaboration
Work closely with managing directors and other leadership to align operations with sales and client service activities for a seamless experience.
Technology Implementation
Lead the adoption and effective use of CRM systems, e-signature platforms, property listing tools, and compliance checklists to improve efficiency and scalability.
Talent Development
Oversee recruitment, onboarding, and ongoing training for operations staff to support performance and career growth.
Strategic Expansion Support
Support new market entries, licensing, and regulatory readiness aligned with company growth objectives.
Corporate Liaison
Serve as a key interface with finance, legal, and IT teams to align operational activities with national business goals.
Qualifications:
3+ years of experience in real estate operations, preferably in multi-regional or international contexts.
Strong knowledge of Japanese real estate laws and regulations.
Proven experience implementing scalable business systems and operational processes.
Familiarity with CRM platforms, digital signature tools, and real estate transaction technologies.
Strong leadership and team management skills, including geographically dispersed teams.
Excellent project management and change leadership skills.
Bilingual proficiency in Japanese and English preferred; Japanese required.
Valid real estate license required.
Compensation and Benefits:
