Position Title

Office Manager

Department: Corporate
Reports to: Chief People & Inclusion Officer

Purpose of the Role

The Office Manager oversees all general administrative functions, including HR and labor administration, office management, and executive support. The role’s primary objective is to ensure efficient office operations and a comfortable working environment that allows employees to focus on their core responsibilities.

Key Responsibilities

1. General Administration

  • Manage and maintain the overall office environment and facilities.

  • Handle incoming mail, deliveries, and phone calls.

  • Organize and maintain documentation for board and committee meetings.

  • Schedule internal meetings and manage related logistics.

2. HR and Labor Administration

  • Coordinate with the Labor and Social Security Attorney (社労士) to manage labor-related compliance, including updates to the Employee Handbook.

  • Monitor attendance and working hours.

  • Manage employee onboarding and offboarding logistics (accounts, business cards, devices).

  • Support administrative processes related to stock option management.

3. Event Planning

  • Organize company offsites and events, including venue sourcing, vendor coordination, and logistics management.

  • Arrange domestic and international business travel, including visa applications when necessary.

4. Legal Administration

  • Support documentation required by group companies or investors (e.g., notarizations, due diligence materials).

  • Assist with corporate registration paperwork and document preparation.

  • Handle administrative requests such as seal certificates and corporate registry documents.

  • Manage contract signing and filing processes in accordance with internal procedures.

5. Executive Support

  • Respond to inquiries and route requests to appropriate team members.

  • Assist with scheduling and calendar management.

  • Support expense reporting and reimbursement processes.

Requirements

  • Alignment with the organization’s mission, values, and ethical standards.

  • Strong organizational and multitasking skills, with the ability to manage multiple administrative responsibilities effectively.

  • Excellent interpersonal and communication skills.

  • Experience working in an international or multicultural environment.

  • Native-level Japanese proficiency and strong English communication skills (written and verbal).

Preferred Qualifications

  • Bachelor’s degree or higher.

  • Minimum of 5 years of experience in administration, HR, office management, or a related field (hospitality experience, such as in the airline industry, is also valued).

  • Certification as a Labor and Social Security Attorney (社労士) is a strong plus.
