Role Overview
As Payroll specialist in Payroll operation team, who should co-work with payroll vendors and local cross teams (HR, Finance, Legal etc.) to take responsibility of Monthly payroll operation management for Japan, and ensure the operation align with local regulations. Meanwhile this role should support JP payroll process improvement and payroll related projects base on business needs. This role is in Japan Tokyo and report to Sr. payroll manager.
What You Will Do
Payroll Operations Management
Oversee end-to-end payroll processing for Japan and potentially one more country in APAC
Ensure accurate and timely payroll execution in compliance with local laws and statutory requirement
Manage payroll cycles including monthly, quarterly, and annual filings.
Maintain the Payroll expense and accruals in the books accurately and timely.
Compliance & Statutory Reporting
Maintain up-to-date knowledge of Japanese labor laws, social insurance, and tax regulations.
Manage statutory filings such as year-end adjustments (Nenmatsuchosei)
Partner with HR to ensure completeness on maternity/sick leave, and social insurance enrollments.
Ensure payroll tax registrations and reporting are accurate and timely.
Team Leadership & Collaboration
Collaborate with HR, Finance, and external service providers to ensure smooth payroll operations
Engage with the third party provider to make sure all SLAs are delivered promptly.
Ability to manage a small team is a plus but not mandatory
System & Process Optimization
Hands on experience with payroll systems (e.g., Workday, SAP) is a plus.
Ability to think and automate payroll processes and integrate with HRIS and accounting systems.
Identify risks and propose controls to mitigate payroll-related issues.
Strategic & Analytical Duties
Provide insights and analytics on payroll and benefits data.
Participate in strategic planning for payroll services and system upgrades.
Lead special projects such as system implementations or policy updates.
Basic Qualifications
Minimum of 8 years in payroll, with hands on experience and familiarity with Payroll calculations
Bachelor’s degree in accounting, Finance, or related field
Excellent communication abilities in Japanese and in English.
Deep understanding of Japanese payroll regulations
Strong analytical and problem-solving skills
Proficiency in handling Workday, SAP and Microsoft Office
