Job Title: Events Coordinator

Reports To: Sales Manager / Director of Sales
Location: Tokyo

Job Summary:

The Events Coordinator provides administrative and operational support in the planning and execution of banquets and events (excluding weddings) secured by the Sales Managers. This role ensures all event details are accurately communicated and coordinated among internal departments to deliver seamless and memorable guest experiences.

Key Responsibilities:

  • Assist Sales Managers with the coordination of confirmed events, ensuring all guest requirements are properly documented and executed.

  • Prepare detailed Banquet Event Orders (BEOs) and distribute them to relevant departments including Banquet Service, Culinary, Rooms Operations, and Accounting.

  • Update and revise BEOs promptly to reflect changes such as menu adjustments, setup modifications, and final guest counts.

  • Liaise with the organizer or client regarding event details, ensuring clear communication and understanding of expectations.

  • Coordinate with internal departments to ensure smooth event delivery, from setup to execution and billing.

  • Support the post-event process, including feedback collection and closing documentation.

  • Maintain accurate event files, records, and reports in accordance with company standards.

  • Ensure all administrative duties are completed efficiently and deadlines are met.

Preferred Background / Qualifications:

  • Experience in Hospitality, Events Management, or related field.

  • Prior experience in Rooms, Food & Beverage, or Reservations operations preferred.

  • Strong organizational and multitasking abilities with attention to detail.

  • Excellent communication and coordination skills.

  • Proficient in Microsoft Office and event management systems.

  • Team-oriented, proactive, and customer-focused.
