主な業務内容
ゼネラルマネージャーの秘書業務
カレンダー管理、会議やアポイントの調整
依頼や連絡、電話対応の優先順位付けと処理
会議用資料やプレゼンテーションの作成
リーダーシップチームと社内外の関係者との情報連携
機密情報の取り扱いと厳格な守秘義務
出張手配(航空券、宿泊、交通手段、行程管理)、コスト効率の最適化
詳細な旅程表の作成と出張準備のサポート
行政業務やプロジェクト管理の補助
一般事務
書類管理、記録保持、オフィス整理
オフィスの安全衛生管理、緊急対応計画の遵守
旅行代理店とのベンダー管理
社内イベントや会議の準備支援

オフィスマネージャー不在時のITタスクの調整・管理

Summary & Purpose
The Executive Assistant serves as the primary point of contact for the General Manager and Leadership Team, ensuring smooth scheduling and providing comprehensive administrative support. This role requires a highly organized and proactive individual with strong administrative experience, excellent communication skills, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
Support to General Manager
Manage the General Manager’s calendar, including scheduling meetings and appointments.
Prioritize and handle incoming requests, correspondence, and calls on behalf of the General Manager.
Prepare reports, presentations, and meeting documents.
Act as a communication link between the Leadership Team and internal/external stakeholders, ensuring timely and accurate information flow.
Handle confidential information with discretion.
Organize all aspects of travel for the General Manager and internal travelers, including flights, accommodations, transportation, and itineraries, ensuring compliance with travel policies and cost efficiency.
Prepare detailed travel itineraries and ensure readiness for trips.
Assist with administrative and project management tasks.
General Administration
Manage office administrative tasks such as filing, record-keeping, and organization.
Ensure compliance with health and safety regulations, including emergency response plans.
Oversee travel agency vendor management.
Coordinate company events and meetings in collaboration with relevant teams and agencies.
IT Coordination
Act as backup for the Office Manager in managing and coordinating IT-related requests and tasks.

Knowledge & Experience
Education: Bachelor’s degree in Information Technology, Business Administration, or a related field.

Languages: Native Japanese and fluent English (written and spoken).
Additional Information
Travel Requirements: Up to 20%.
Work Arrangement: On-site or hybrid (in line with company policy).
