Senior Coordinator – Site Services & Operations
Position Summary:
As a Senior Coordinator in Site Services & Operations (SS&O), you will provide on-site leadership to ensure the smooth delivery of essential services such as reception, switchboard, visitor coordination, meeting and catering support, facilities maintenance, office moves, health and safety, and physical security. You will also manage vendor relationships, negotiate service contracts, ensure service-level expectations are met, and act as a key point of contact for internal stakeholders.
Key Responsibilities:
Develop and review initial vendor contracts, negotiate amendments, and manage contractual risks while keeping budgets and scope in mind.
Oversee budget planning, tracking, and cost control across related service areas.
Recommend contract terms aligned with broader business objectives.
Build and manage vendor relationships independently with minimal supervision.
Identify service requirements, research alternatives, make procurement recommendations, and manage requisitions.
Verify vendor invoices and confirm completion of services and deliverables.
Maintain strong, professional relationships with internal clients and cross-functional teams.
Understand the needs of various departments, proactively identify service gaps, and recommend or implement improvements.
Troubleshoot issues, develop and implement process enhancements, and track outcomes.
Encourage open dialogue, gather different perspectives, and use analysis to support well-informed decisions.
Prepare business cases and clearly communicate rationale for recommendations.
Appropriately escalate and communicate critical concerns and recurring trends.
Organize and lead meetings, adjusting delivery to suit the audience. Follow up on action items post-meeting.
Support daily team operations and provide backup for senior managers as needed.
Recommend and implement new procedures to improve service quality, efficiency, and responsiveness.
Support training and coaching of team members in partnership with leadership.
Act as a subject matter expert (SME) in key areas such as health & safety or emergency response.
Provide accurate and timely information about company guidelines, policies, and procedures.
Analyze service data and trends to optimize operations and enhance team effectiveness.
Stay updated on industry trends and anticipate how external changes may impact internal operations.
Collaborate with other site leads to support consistent service delivery across locations.
Serve as the first point of contact during emergencies or crisis response situations, making real-time decisions to protect staff and reduce business risk.
Contribute to or lead high-impact projects related to employee engagement or operational improvements.
Perform other duties as assigned.
