Overview
An international organization is seeking a Sales Support professional to provide administrative and operational assistance to the sales team. This position involves handling sales documentation, coordinating with both domestic and overseas offices, and managing various general office and logistics-related tasks. The role requires a proactive and flexible individual with strong attention to detail and communication skills in both Japanese and English.
Key Responsibilities

Handle telephone and email communication with internal teams and external clients, including English correspondence with overseas offices.

Create and process sales and order documentation, including data entry and record management.

Prepare and manage delivery notes, invoices, and related documentation.

Support expense reimbursement processing and maintain accurate records.

Assist in organizing and operating seminars and related events.

Prepare quotations and purchase orders for overseas offices or suppliers.

Support logistics operations such as shipment, receiving, and inventory tracking of goods and spare parts.

Perform general administrative duties including filing, mailing, document control, procurement and management of office supplies, and arranging travel and accommodation for visitors.
Qualifications and Experience

Previous experience in sales administration or sales support, preferably in a trading company or manufacturing environment.

Proficient in Microsoft Office applications:

Excel: ability to use spreadsheets and basic functions (e.g., VLOOKUP) for data entry and report preparation.

Word and Outlook: general business-level proficiency.

Experience with ERP systems is preferred but not mandatory.

English reading and writing ability sufficient for email correspondence and coordination with overseas teams.

A cooperative, adaptable, and positive team player with good communication and multitasking skills.

No specific educational background required.
Working Conditions

Working Hours: 9:00–17:30 (flex-time system with no core hours)

Standard Working Time: 7.5 hours per day (break 12:00–13:00)

Holidays: Saturdays, Sundays, national holidays, year-end/New Year holidays, summer leave, and long-service refresh leave (after 10 years of employment).

Salary: Monthly salary based on experience and ability, in accordance with company policy.

Bonus: Once annually (July), based on individual and company performance.

Salary Review: Conducted once a year (July).
