Position: Operations Specialist
Location: Tokyo
Reports to: Senior Manager, Japan Operations
Overview
This position supports the Senior Manager by handling logistics, inventory control, repair coordination, and both domestic and international shipping for the Japan operations of an anonymous luxury goods brand.
Key Responsibilities
Inventory & Stock Management

Manage inventory for products and packaging materials.

Plan and conduct biannual inventory audits across all Japan retail locations.

Collect, analyze, and report inventory results to the Senior Manager and Finance team.

Oversee monthly inventory closing in the system and submit reports to Finance.
Logistics & Repair Coordination

Communicate with external warehouses and repair vendors to ensure efficient operations.

Process and manage repair requests, coordinating with retail stores and repair centers (domestic and international).

Maintain accurate repair records, including tracking delivery schedules and status updates.
International & Domestic Shipping

Prepare shipping documents and support customs-related procedures.

Coordinate imports of store furniture for new openings and relocations.

Collaborate with headquarters, merchandising, and logistics teams to align shipping timelines.

Place customer orders and monitor delivery schedules.
Quality & Vendor Management

Oversee quality control processes and inventory accuracy.

Assist in vendor contract management and handle operations-related invoices.

Report quality issues to headquarters.
Systems & Documentation

Arrange product and packaging shipments from third-party warehouses using internal systems.

Create packing lists and consignment documentation.

Update and maintain data in Salesforce and other operational platforms.
Cross-Functional Communication

Serve as the main contact for store teams regarding shipment updates, repair progress, and operational issues.

Gather feedback from stores and recommend improvements to operational workflows.
Qualifications

Minimum 3 years of experience in logistics, operations, or supply chain coordination (experience in retail is an advantage).

Strong communication and organizational abilities.

Business-level proficiency in Japanese and English (additional languages are a plus).

Competence in Microsoft Office; experience with Salesforce preferred but not required.

Detail-oriented, proactive, and eager to develop into a managerial role.

Able to work independently and perform under pressure.
