Job Title: Staff Residential Property Lead
Employment Type: Contract Employee
Location: On-site, Chiyoda-ku, Tokyo
Salary: ¥6,000,000 – ¥7,000,000 annually (estimate; final amount based on experience and interview)
Working Hours: 9:00 AM – 6:00 PM (may vary at client sites); core hours apply; fixed overtime included (30 hours/month)
Holidays: Two days per week (Japanese calendar)

Role Summary
The Staff Residential Property (SRP) Lead is responsible for managing on-site residential properties in compliance with local government regulations and health and safety standards. Reporting to the Post Facilities Manager, the role oversees the leased property portfolio, ensures statutory compliance, and maintains strong relationships with internal and external stakeholders including residents, council members, and team members.

Key Responsibilities

  • Manage leased residential properties and maintain relationships with internal and external stakeholders.

  • Provide guidance and recommendations regarding the local residential property market.

  • Assist incoming and departing staff with residential property matters and liaise with real estate brokers.

  • Prepare lease documentation as needed.

  • Maintain electronic records of residential property matters, including service and maintenance supplier lists.

  • Ensure staff housing meets required amenities, safety standards, and security guidelines.

  • Manage contracts for planned maintenance and service delivery.

  • Oversee property upkeep, emergency response, and crisis management plans.

  • Deliver high standards of customer service and respond to staff needs promptly.

  • Support logistical coordination for official visits as required.

  • Manage SRP team members to maintain exceptional service standards.

  • Handle SRP work orders according to agreed service levels in property management systems.

  • Conduct rolling forecasts, payment applications, and oversee SRP agency performance.

  • Act as backup for the Post Facilities Manager in emergencies or when needed.

Core Competencies

  • Knowledge of health and safety standards, including fire and electrical safety.

  • Proficiency with Microsoft Office and residential property management software.

  • Understanding of relevant building statutory requirements.

  • Strong organizational skills, attention to detail, and ability to manage competing priorities independently.

  • Excellent oral and written communication skills in English and Japanese, with ability to liaise across diverse stakeholders.

  • Strong analytical and decision-making skills, with a customer-focused approach.

  • Professional, resourceful, and able to handle challenging situations effectively.

Experience & Qualifications

  • University degree or equivalent qualification.

  • Minimum of 3 years’ experience in residential property management or a related role.
