Position: Office Manager (Tokyo)

Overview
We are seeking a highly organized and detail-oriented Office Manager to oversee daily office operations, maintain smooth communication with customers and vendors, and ensure efficient administrative processes. The ideal candidate will have experience in bookkeeping, invoice preparation and collection, banking coordination, and office management, with a proactive and hands-on approach.

Key Responsibilities

  • Act as the main point of contact for office operations and ensure smooth daily workflows.

  • Manage product orders from headquarters, oversee kitting operations, and coordinate delivery to customers.

  • Handle company inventory, including devices, SIMs, accessories, quarterly reporting, and returns (RMA).

  • Prepare and organize bookkeeping materials for external accounting services with accuracy and efficiency.

  • Liaise with banks, manage documentation, and resolve financial coordination issues.

  • Maintain and update office systems, including MS Excel, Office software, Salesforce, and assist with the transition to NetSuite.

  • Utilize workflow tools (e.g., Monday.com) to manage collaboration and task tracking.

  • Coordinate team meetings, events, and logistics.

  • Oversee office supplies and ensure the workspace remains fully functional.

  • Prepare invoices and manage billing for all customers.

Qualifications

  • Proven experience as an Office Manager or in a similar administrative role.

  • Familiarity with bookkeeping and accounting processes, including invoicing and collections.

  • Strong organizational skills and attention to detail.

  • Proficiency in Salesforce and Excel; experience with NetSuite and workflow tools (e.g., Monday.com) is an advantage.

  • Excellent communication and interpersonal skills.

  • Ability to work independently, prioritize effectively, and meet deadlines.

  • Business-level English and native-level Japanese.

  • Previous experience handling banking processes or working with financial institutions is a plus.
